Volunteer Information

IMPORTANT INFORMATION FOR VOLUNTEERS
Thank you so much for volunteering to help us give our graduating seniors a safe and
sober graduation celebration! Please read the important information below.
Parking: Please try to park in the teacher/staff parking lots in the front & side of the
school. The back parking lot is also available, however we would like to reserve that
area for student cars. Should you need to park there, we will have golf carts patrolling
the parking lots that can give you a ride to the front entrance so you won’t have to hike it
in the dark. If at all possible, try carpooling with a fellow volunteer, as the lots are
always crowded.
Check-in: All volunteers must check in and get a nametag in Room A-107 (near the
Grad Night Entrance) before entering. Please be on time for your shift. Your Committee
Chair will be contacting you to confirm your shift time, and all assignments are posted
here.
Assignments: This is an enormous event, so we need to make sure we have enough
helpers for each area. Please stay in your assigned area until relieved by the next shift.
Please do not trade shifts or areas without speaking to your Committee Chair and/or
the volunteer coordinator (Sharon McAdams). If you finish your shift and decide you
would like to stay to help, please return to the volunteer check-in area to see if we have
a spot where we can use you.
Food/Rest: Committee Chairs and/or “floaters” will be visiting each area to relieve you
for short breaks if needed. Snacks and beverages (including coffee) will be provided for
volunteers in the Food Room, F101. Please do not go to the Coffee shop or snack on
any of the food or beverages that are for the students.
Your Role: Chances are, you will have as much fun as the kids, but please remember
that this is their party, and our role is to facilitate it; not intrude upon it. Encourage kids to
try new things and enjoy every aspect of this amazing event. However, please
supervise with a watchful eye to ensure that Grad Night remains a safe and secure
place for our students, and notify Security if you are suspicious of any activity.
Dress Code: Please bring a jacket or sweatshirt for the later evening hours, as many of
the activities are outside and it can be chilly. Your Committee Chairperson will be
contacting you with any specific dress code for your area.
Sweatshirts: Grad Night sweatshirts are available for volunteers to purchase. Please
use this order form.
We’re counting on you! Your Committee Chair will be contacting you by May 15th., but
feel free to contact Sharon McAdams if you have any questions before then. Also, if you
cannot fulfill your assignment or an emergency arises that evening that prevents you
from coming, please call your Committee Chairperson or Sharon ASAP.
